Full-Time Medical Receptionist
Job Summary:
The Medical Receptionist serves as the first point of contact for patients in a busy outpatient mental health clinic. This role is essential to creating a welcoming and efficient environment for patients, families, and staff. The Medical Receptionist is responsible for managing front desk operations, scheduling appointments, verifying patient information, supporting billing/coding processes, and providing administrative assistance to the clinical and administrative teams. Strong communication, empathy, and organizational skills are essential to this role.
Job Details:
Our clinic is located on the 3rd floor, Smith Road Medical Centre, George Town, Grand Cayman. Clinic hours are 7am - 6pm Monday to Friday, Saturday 9am - 4pm. The administrative team operates on a flexible schedule with rotating Saturday shift schedule determined by the Practice Manager. Standard work week per CI Labour Law.
Requirements:
- Bachelor's degree in a relevant health science (nursing, psychology).
- 5 years experience in healthcare or healthcare administration
- Extensive experience with health insurance, medical coding and health record system administration.
- Excellent written and oral communication, telephone etiquette.
- Exceptional team skills, including strong interpersonal skills
- HIPAA Certification (we can provide to an ideal candidate)
- Able to work Saturdays
Primary Duties:
Primary responsibility is to assist with all aspects of the Company’s Clinical Reception, including but not limited to the following:
Key Responsibilities:
Front Desk & Patient Services
- Greet patients and visitors with professionalism, compassion, and confidentiality
- Manage patient check-in/check-out, ensuring all required forms and documentation are complete
- Answer and direct phone calls promptly, addressing inquiries or transferring as needed
- Provide compassionate assistance to patients and families, resolving issues professionally or escalating when necessary
- Maintain an organized and welcoming reception area
Scheduling & Coordination
- Schedule, reschedule, and confirm appointments based on clinical availability
- Manage cancellations and proactively fill openings to maintain clinic efficiency
- Coordinate clinician schedules to optimize workflows and minimize conflicts
Patient Intake, Billing & Verification
- Verify patient demographics, insurance details, and documentation at each visit
- Collect co-pays, explain billing policies, and respond to patient billing/insurance questions
- Review patient accounts for accuracy and ensure payments are correctly recorded
- Support accounts administration by reviewing challenging claims/denials, assisting with appeals, and helping maximize reimbursement
Clinical & Administrative Support
- Prepare patient charts and maintain appointment schedules for clinical staff
- Assist the Clinical Administrator with precertifications and documentation compliance
- Attend clinical meetings to provide guidance on documentation and coding opportunities
- Support the Clinical Director and DSS Manager by periodically reviewing billing and coding to ensure accuracy and compliance
- Compile, file, and maintain patient documentation in accordance with HIPAA and clinic standards
Billing & Coding Support
- Serve as a daily resource to clinicians and admin staff for billing/coding questions
- Provide quarterly CPT/ICD coding updates and mini refreshers on billing/documentation best practices
- Identify underutilized codes and recommend improvements to optimize revenue capture
Compliance & Confidentiality
- Adhere to clinic policies, HIPAA regulations, and healthcare standards
- Protect patient privacy and maintain strict confidentiality at all times

Compensation:
- Salary commensurate with experience and qualifications starting at KYD$35,000 per year.
- Health insurance coverage which exceeds CI Labour Law
- 15 days annual paid leave.
